From the initial meeting to determine scope and format of your event to thank you letters to speakers and sponsors, ETP is prepared to handle all of the details to meet your needs.

We provide the following assistance in organizing your workshop, conference or symposium:

  • Initial meeting with Organizing Committees to plan scope and format of event
  • Coordinate proposals of venues for conference site selection
  • Establish and monitor budgets
  • Review administrative procedures and progress of event
  • Coordinate services for events: accommodation, transportation for participants, conference and other facilities, catering, signage, displays, translation, special needs requirements, audio visual equipment and security
  • Organize registration of participants: on line; collection of fees; prepare name badges
  • Prepare programs, promotional materials
  • Publicize event: Adverts in trade magazines; email blasts
  • Plan networking receptions, dinners.
  • Ensure compliance with local by-laws
  • Negotiate contracts for services; approve suppliers invoices; maintain financial records; review final billing;
  • Provide an Event Manager on Site
  • Hire support staff required for events
  • Prepare a Report on proceedings

Additional Services

ETP is also available to assistance with organizing the content of your symposium, in particular: working with speakers, sponsors and exhibitors; creating conference web pages for providing information to your delegates, creating registration pages for attendees to sign in and also to set up a service to collect registration fees. Poster Sessions

  • Customized of conference web site; hosted through ETP website is required
  • Development of on-line abstract submission form and database
  • Reporting of submissions and forwarding to Committees for review and selection
  • Sending email notifications to applicants advising if submissions were accepted or rejected
  • Ensure sufficient poster boards, layout and number systems are in place
  • Prepare program of poster session abstracts
